oneUp is a corporate innovation factory and home to 40+ rebel innovators, dreamers, space explorers and nerds based in Amsterdam. We design, validate, execute and scale new digital products and services for large organizations. And help them to do it on their own structurally through our innovation management approach.

We have lots of innovation experts, but we also need someone to help us with the administration part of the company. As our Secretarial Administrative Support, you will hold a key position within our company. The responsibilities and tasks are very diverse, it can range from preparing client invoices, checking incoming invoices, managing our tools and accounts to helping with HR requests and administration. To be more concrete, we are looking for someone who can support us with the following tasks:

Your tasks

  • Preparation client invoices:
    • Create new services/projects in our hour registration system (Simplicate)
    • Add employees, hourly rates and budgets to the services/projects 
    • Update the project tickets with relevant invoice details and information
    • Manage signed order confirmations
  • Setup client invoices:
    • Check (in Simplicate) if all written hours are correct
    • Setup draft invoices and check with project leads and sales manager if the invoices are correct
    • Send out client invoices and make sure they will be paid on time
  • Supplier invoices:
    • Check if incoming invoices are correct in terms of content and invoice requirements and process them in our invoice system (Basecone)
  • Creditcard invoices:
    • Collect all the invoices of the transactions we made with the company credit card and upload them in our expense system (Declaree)
  • Administrator tools & accounts:
    • Managing our accounts and tools
    • Add/remove people to accounts when needed
  • Reports:
    • Create reports when needed (written hours, invoices, holidays etc.)
  • People inbox & helpdesk:
    • Handling incoming HR emails like holiday requests
    • Handling general incoming emails and phone calls
    • Processing employee data in Simplicate
    • Processing employee birthdays in our company calendar
    • Answering questions about invoicing, writing hours, tools etc.
  • oneUp Belgium invoices:
    • Manage incoming invoices and send outgoing invoices for oneUp Belgium
    • Making payments
  • Contracts:
    • Drafting contracts for employees/freelancers

Who are we looking for?

  • Finished Bachelor Degree (HBO+)
  • Experience with various secretarial/administrative tasks
  • Flexible and open minded
  • Native / Near Native Dutch and good English
  • 24-40 hours per week
  • Trustworthy and accurate
  • Can do mentality
